Role Overview:

The Operations Manager will oversee day-to-day business operations, lead and support internal teams, and ensure efficient processes that align with company goals. This role requires a proactive leader who can balance strategic planning with hands-on execution to help scale and optimize Ask Velma’s operations.

Key Responsibilities:

  • ⁠Supervise, coach, and mentor a team of Virtual Assistants to ensure high-quality performance.
  • Act as the main point of contact for escalations, resolving client or VA concerns quickly and effectively.
  • Monitor team performance, attendance, and KPIs, providing regular feedback and support.
  • Conduct regular one-on-one check-ins, performance reviews, and team meetings.
  • Collaborate with recruitment and training teams to onboard and develop new VAs.
  • Ensure client expectations are met by aligning team output with client requirements.
  • Implement best practices and process improvements to boost efficiency and service delivery.
  • Prepare reports on team performance and provide recommendations for improvement.

Qualifications:

  • Proven experience in a Team Manager, Operations Manager, or Supervisory role (preferably in a VA agency, BPO, or healthcare-related account).
  • Strong leadership, communication, and conflict-resolution skills.
  • Experience managing remote teams is highly preferred.
  • Ability to handle multiple accounts and ensure client satisfaction.
  • Comfortable working in a fast-paced, client-driven environment.
  • Proficient in using collaboration tools (MS Teams, Slack, Zoom) and productivity platforms.
  • Willing to work on US-shift hours (night shift PH time).
