We utilize a robust time-tracking software to log the working hours of our Virtual Medical Assistants. This tool ensures productivity and provides you with full visibility, so you can monitor and manage the hours worked by your VA with complete transparency.
We recommend having a VOIP phone system in place for your Virtual Medical Assistant to manage calls, along with setting up a secure remote desktop. If you don’t already have these systems in place, we can recommend suitable platforms that fit your practice’s needs.
The process is simple and straightforward:
- Step 1: Fill out the contact form on our website to let us know about your practice’s needs.
- Step 2: We will reach out to you within 24 to 48 hours with profiles of our Virtual Medical Assistants.
- Step 3: You will have the opportunity to interview and select the VA who best fits your practice before onboarding.
Most of our Virtual Medical Assistants are ready to start immediately. Once you’ve decided to onboard a VA, we can swiftly move forward with the agreement and onboarding process, so your VA can begin supporting your practice without delay.
Our pricing is straightforward and transparent. We offer a flat-rate hourly fee:
- $10.00 per hour for Junior Associates
- $11.00 - $13.00 per hour for Specialized Associates (Virtual Office Manager)
There are no contracts, hidden fees, or setup fees. Billing occurs biweekly, every other Monday, and clients can cancel with a 30-day notice.
Security and privacy are our top priorities at Ask Velma. We sign a Business Associate Agreement (BAA) with all our clients to ensure compliance with HIPAA regulations. Our VAs are HIPAA trained and certified, undergo thorough background checks, and use dedicated work computers with up-to-date operating systems protected by world-class cybersecurity measures, including SentinelOne. Additionally, based on the unique IT infrastructure of your clinic, we can provide a dedicated HIPAA-compliant VPN with a static IP address if needed. We also back our services with a robust cybersecurity insurance policy.
